Standard terms & conditions of service
These conditions are necessary to ensure the orderly continuance of the Establishment.
Reservations and payment terms
1.1. The establishment operates on a self-catering basis and does not provide or arrange other services such as meals on-site, personal laundry, transport, tours, functions, events, parties, baby sitting, and conferences. We will however, on request endeavor to provide details of suppliers that should be able to provide these services directly to the guest. Meal vouchers are however available to book.
1.2. The names of the persons including contact details, booking the unit must be provided when the reservation is made. Bookings made by Travel Agents must accompany a travel voucher containing the guests personal details.
1.3. Reservations will not be confirmed until proof of payment is provided to us at which time we will send a confirmation form with relevant reservation details to the guest confirming their booking. Villa Chante will not be held liable or responsible for booking confirmations and valuable information not read by guests. Upon enquiring, please make sure that you read the full description of the units, look at the photo gallery and ask questions if you are unsure about anything. It remains the guests responsibility to make sure the unit booked it suitable for their needs before confirming a booking.
1.4 Should guests have special requests, please send them in writing to firstname.lastname@example.org . Please make sure that all communication is made in writing to ensure that all the information regarding your reservation is recorded for easy retrieval and reference.
1.5 A 50% deposit is required within 24 hours to secure a booking for 2 nights or more and 100% for 1 night stays and promotional bookings . The balance is payable via cash, EFT or credit card (we regret, no debit cards) on arrival, except for high peak period bookings (15 December – 8 January) which are payable in full by 30 November.
No Deposit – No booking.
1.6 a Refundable breakage deposit of R250 per standard unit and R500 per 2,3 and 4-bedroom unit is payable on arrival and refunded via EFT if no damages occurred during your stay.
1.7 Any breakages will be deducted accordingly and if breakages exceed the value of the deposit, guests are liable to settle the difference on departure or replace the item/s to similar value and quality.
30+ Days cancellation prior to arrival – Full Refund
21 – 29 Days cancellation prior to arrival – 75% Refund
15 – 21 Days cancellation prior to arrival – 50% Refund
7 – 14 Days cancellation prior to arrival – 25 % Refund
0 – 7 Days cancellation prior to arrival or in the event of No-shows – No Refund
Cancellation 0 – 30 Days prior to arrival – No Refund
10% Admin fee is applicable on all refunds.
Arrival and Departure
2.1. Check in time is between 14:00 and 17:00 unless prior arrangements have been made. No check-in will be accepted prior to 14:00 and after 21:00 This is necessary to ensure the security, comfort and well-being of other guests.
2.2. Check out time is by 10:00 strictly unless prior arrangements have been made. This is to enable the room to be prepared in time for new arrivals. Late check outs may be charged for, depending availability at a pro rate fee per hour.
2.3 Should guests arrive on a different date than booked for or has made a mistake with booking dates, Villa Chante will not be held liable for finding alternative accommodation and guests will forfeit deposit. Please read your booking confirmation to make sure the details you provided for your booking is correct.
Parking, Access & Guest Occupancy
3.1. Should you need to bring more than one vehicle per unit please do enquire about the availability of parking. Failure to advise on extra vehicles will result in the vehicle not being allowed on-site. One set of keys is provided per unit. The cost of replacement keys is R250.00. Rooms must be locked, windows closed and keys handed in to Management or dropped in the key box on departure. NO keys will be handed to any person except the guest who made the booking.
3.2. No additional guests will be accepted than booked for including children (Children is seen as a paying guest). We accept no responsibility for any loss or damage. Should guests arrive with more people than booked for, a appropriate unit will be allocated at full rate, subject to availability or the reservation cancelled with no refund. Our units only cater for the maximum occupancy including beds, linens, cutlery, crockery and geyser capacity.
4.1. The office is contactable from 08:00 to 17:00 daily. The management team can be contacted for after hour assistance. Earlier check-outs are welcome with the keys to be dropped in the key box.
Braai Facilities & Visitors
5.1 Selected units have indoor BBQ facilities, whilst other units share a communal area. Please do be considerate when it comes to noise levels. No loud music is permitted. No music will be allowed from vehicles or parties in the driveway/entrance. Please dispose of any waste.
5.2 No fireworks to be let off on or around the property, due to us being situated in a Conservancy. Failing to comply might result in a fine and the guests will be reported to authorities.
5.3 Visitors are allowed until 21:00 upon pre-arrangement with management. No parties will be allowed. Villa Chante takes no responsibility for visitors entering the Villa Chante premises and they do so at own risk. Failure to comply may result in the guest being evicted immediately.
6.1. No smoking is allowed in the units by law. Should guests fail to comply, a fine will be payable and guests will be held liable to the cost of having the unit fumigated.
Loss or Damage to Establishment Property & Indemnification
7.1. The guest is liable for any loss or damages (excluding wear and tear) to the property of the establishment during their stay. This includes the damage to linen, crockery, etc.
7.2 Sun Tan lotion / Self tan lotion causes permanent stains to white linen. Please be considerate.
7.3 Guests enter & stay at Villa Chante at own risk and indemnify the owners, management and employees of any loss, damage, injury or death while residing on the property during your current, past, standing or any future reservations.
7.4 a Indemnity & Registration form will be completed on arrival with valid identification to be verified by Reception in form of a Valid I.D, Passport or Drivers License.
8.1. The establishment cannot be held liable if any events or conditions prevents us from fulfilling out obligation to guests. We will take all reasonable steps to minimize disruption and discomfort to guests under these conditions.
9.1 Villa Chante is unfortunately not pet-friendly.
